MyRepTracker ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our civic engagement platform.

Information We Collect

We collect information you provide directly to us, including:

  • Account information: your name, email address, and password when you create an account
  • Address information: your street address, used solely to identify your elected representatives at the state and federal level. It is sent to a geocoding service to find your districts and is not stored; we keep only the districts it resolves to
  • Preferences and tracking: the legislators, bills, and topics you choose to follow
  • Communications: messages you send through our contact form

We also collect certain information automatically when you use our service:

  • Usage data: pages visited, features used, and general interaction patterns
  • Device information: browser type, operating system, and screen size
  • Cookies: small text files used for authentication and preferences. For more details, see our Cookie Policy

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Match you with your elected representatives based on your address
  • Send you notifications about tracked bills, legislators, and legislative activity
  • Personalize your dashboard and recommendations
  • Respond to your inquiries and support requests
  • Analyze usage trends to improve the platform

AI and Automated Processing

MyRepTracker uses artificial intelligence to classify bill topics, generate bill summaries, and power our conversational search features. Bill topics, summaries and comparisons are produced from publicly available legislative data, not your personal information. Questions you ask our AI assistant are different: each question is sent to our AI provider (currently Google, through its Gemini API) to produce the answer, and is stored with the answer for 90 days to improve the service, then deleted. Please do not include personal information in your questions.

Information Sharing

We do not sell, rent, or trade your personal information. We may share your information only in the following circumstances:

  • Service providers: trusted third parties that help us operate our platform, bound by confidentiality obligations:
    • email delivery and hosting
    • our AI provider (currently Google), which receives the questions you ask our AI assistant
    • Google Analytics, which every public page loads to measure visits (see our Cookie Policy)
    • Google reCAPTCHA, which checks the sign-in, registration, password reset and contact forms for automated abuse
    • the U.S. Census Bureau geocoder and OpenStreetMap's Nominatim, which receive an address you look up so we can find its districts
    • Google, when you choose to sign in with your Google account
  • Legal requirements: when required by law, subpoena, or legal process
  • Safety: to protect the rights, safety, or property of MyRepTracker, our users, or the public

Data Retention

We retain your account information for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain it for legal or compliance purposes. Anonymized, aggregated usage data may be retained indefinitely.

Data Security

We implement industry-standard security measures to protect your personal information, including encrypted data transmission (TLS), secure password hashing, and access controls. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your account and associated data
  • Opt out of non-essential email notifications
  • Request a copy of your data in a portable format

Children's Privacy

MyRepTracker is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will promptly delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting a notice on our website or sending you an email. Your continued use of the service after changes are posted constitutes your acceptance of the updated policy.
